Annual General Meeting 2003

MINUTES of the meeting held 2 July 2003, 19:30 at the Civil Service Sports Club, Tewkesbury Road, Cheltenham

PRESENT :  Tony Clay, Chairman; Reg Rowley, Treasurer; Patrick Phair, Scorekeeper; Brian Wood, Fixtures' Secretary; further representatives from 6 teams.

Apologies received from Dave Blunden, Secretary and also from some of the teams.

CHAIRMAN'S REPORT

We reported to the CACSSA AGM on 26 June that only 13 teams had entered the 2002/03 Winter League, compared to 15 the previous year. We therefore ran a single division. We had made good progress towards engraving all trophies. Our finances were healthier following recalculation of the subsidies paid to affiliated clubs for hiring facilities. We also informed the CACSSA AGM that we would address the issue of donations to charity at the forthcoming Skittles' Club AGM.

TREASURER'S REPORT

The Treasurer reported a reasonably healthy financial situation, although the account at 30 June was slightly less than on the same date in 2002. He noted that a rebate from CACSSA, based on the number of members in the Skittles Club, meant that the Club paid no Lane fees during the year (£650 in recent years). Even so Expenditure was greater than Income, due largely to the cost of retrospective engraving. He presented a paper listing the year's accounts.

He also presented a paper postulating the coming year's financial situation, on the basis that the Club continues with the same number of teams. As stickers' fees will be raised to £12 in line with the Cheltenham League, Income is likely to fall, but this will probably be offset by a reduction in Expenditure.

Discussion on various points raised no controversial issues. The Treasurer confirmed that the account could stand the continuation of our Charity donations.

The Report was accepted by the meeting.

It was decided that Match Fees for the 2003/04 League would be reduced to £10 per game. This would allow us to increase sticker fees to £12 (in line with the Cheltenham League) without asking the Clubs for any more money.

SCOREKEEPER

The Meeting acknowledged the excellent results' service we now enjoyed via our Web pages, and went on to applaud Brian Wood for setting up and maintaining the Website so diligently.

It was recognised however that not all team captains had Internet access, so it was agreed that a diary of main events would be maintained on the notice board in the Geoff Hardy Room.

FIXTURES REPORT

Again the Fixtures' Secretary was pleased to note that all games were played, albeit with a handful of rescheduling.

The CACSSA committee had been approached by the Cheltenham League concerning the possibility of playing on our premises the final rounds of their Front-pin Competitions and finals' stages of the Hospital Cup. Five weeks immediately after the Easter break would be needed. Assuming the same composition of the leagues this could be accommodated and would bring benefits to CACSSA and the community. We expect the Winter League to be completed before Easter. Our timetable would be tight and the most noticable effect would be a delay in the start of the President's Shield games. It was noted that Player of the Year is better supported in February.

It is likely that the use of the alleys on Mondays will remain available since proposals to use our facilities for Cheltenham League matches seem to have come to nothing.

EQUIPMENT

The plastic covered pins continued to give good service and 5 new pins were bought during the year but have not yet been used. They may be incorporated in the pins rotation to be actioned before the beginning of the next Winter League.

STICKERS

The Meeting noted that Dave Wilson continued to provide a reliable supply of stickers. It was pointed out however that CACSSA was formulating its Policy on Child Protection, and the Skittles Club be bound by this policy. It should have little effect upon us since juniors playing skittles (eg in the Summer League) were accompanied by a parent, and stickers were transported to and from matches by parents or guardians. We will promulgate the policy once formalised.

ELECTION OF OFFICERS

The Committee was re-elected. Another Committee Member was required to assist in the organising of events and communication with team captains. All teams were asked to seek suitable candidates.

DONATIONS TO CHARITY

The Meeting agreed unanimously that donations to charity should be continued providing they were affordable within the existing budget. The issue would be kept under review.

AOB

Reg Rowley, in his role as Assistant CACSSA Manager informed the meeting of a recent survey of GCHQ staff requesting information about individuals' sports activities and interests. It transpired that 5 people had expressed an interest in Skittles but were not actually playing. They will be contacted and encouraged to join a team.

There were proposals to charge guests £1 per head when signed into the clubhouse by a member. It was not clear how this would be implemented and more information was required before implications for skittles, if any, could be determined.

It was noted that Brian Wood was now a CACSSA official with responsibility for publicity.

Reg Rowley (Hangovers), on behalf of his team, thanked the Committee and ODDS & ENDS for their co-operation in allowing the celebratory 1000th Hangovers' game to be played on a Friday evening.

There being no other business, the meeting closed at 21:20.
